Create a new digital system to help employees find relevant information to HR and IT related questions

Enabled us to move forward with creating an information architecture for the system by understanding what categories users create based on the terms provided to them.

Define the problem
Worked with stakeholders to define the problem space and decide what aspects of the overall experience is in an out of scope for this research. Established clear timelines based on the project team's needs and the scope of this research.

Problem Statement:

There will be a lot of HR and IT content on this new website. We need to understand the mental models of end users so we can create an intuitive experience for them. This will help end users to quickly find the information they need and minimize disruptions to their work day.

Create study plan
Define project background, business objectives, research objectives, timeline, and specific questions to ask participants during the study. Work with design, product, and development stakeholders to validate the information in the test plan and ensure the stakeholder's key questions are addressed.

Recruit and schedule participants
Recruited 10 users from R&D, IT, HR, Sales, Operations.

Run sessions
Traveled to the participant's office to do 1:1 in person card sorting exercise. First participants grouped the cards then were given a blank card per group and asked to label the groups they created. Photos of the end results were taken to help with data analysis.

Analyze data
Imported the groups and labels into Excel. Used excel to see if there was a difference in how people organized the information based on age and department.
Key finding

IT and HR had more nuanced categories than the rest of the organization for their respective content.

Create presentation
Created a slide deck to share findings about what the information architecture of the new website should look like.

Present findings
Presented findings to design team leadership.

Follow-up
Started planning for a closed card sort exercise with a larger sample size and with representation from multiple countries.
